What You'll Be Doing
Project Coordination & Scheduling
• Assist with project schedules, milestones, and sequencing
• Coordinate subcontractors, suppliers, and internal teams
• Track schedule changes and proactively communicate risks or updates
Communication & Team Support
• Act as a point of contact between designers, engineers, subcontractors, and internal teams
• Coordinate meetings, distribute notes, and track follow-ups
• Support client communication as directed by the Project Manager
Document Control & Administration
• Maintain accurate project records including contracts, permits, drawings, change orders, COIs, W-9s, invoices, and job logs
• Support contract administration including OCIP/CCIP enrollment, pay applications, and closeout documentation
• Ensure documents meet company standards and compliance requirements
Budget, Cost & Procurement Support
• Assist with estimating and budget tracking
• Prepare purchase orders and process vendor invoices
• Track project costs and support financial reporting
• Order and track materials, equipment, and office supplies
Quality, Safety & Compliance
• Maintain safety documentation (SDS/MSDS)
• Assist with PPE distribution and safety coordination
• Track employee licenses and certifications (OSHA, city licenses, etc.)
Project Closeout
• Coordinate final inspections and punch lists
• Assist with as-built documentation and owner turnover materials
• Support final billing and closeout submissions
What We're Looking For
Experience & Education
• High school diploma required; construction-related degree preferred
• 5+ years experience in construction project coordination or project support strongly preferred
• Commercial construction experience is a plus
Technical Skills
• Proficiency in Microsoft Office (Word, Excel, etc.)
• Experience with construction management software (Procore, Buildertrend, or similar)
• Ability to read and understand construction drawings and specifications
